ProQuest ETD Submission Prep: Dissertation and Thesis Formatting for Graduate School Clearance

Order Now

ProQuest ETD submission is the final checkpoint between your completed dissertation and the credential you have spent years earning. Graduate Schools reject manuscripts at this stage for reasons that have nothing to do with the quality of your research: margins that fall outside institutional specifications, inconsistent heading hierarchies, pagination errors, Table of Contents entries that do not match chapter titles, reference list entries that deviate from your required style manual, and embargo selections that have not been properly documented. These are formatting and compliance issues — and they are entirely preventable.

Since 2002, Editors For Students has supported doctoral and master's candidates through the final stage of manuscript preparation — the stage that determines whether your Graduate School reviewer approves your ETD for deposit or returns it for revision. Our meticulous Manuscript Standard applies Natural Intelligence: trained human editorial judgment, not automated processing, working through your document with Track Changes enabled so every revision is transparent and yours to approve.

What ProQuest ETD Reviewers Check

ProQuest and your institution's Graduate School reviewer apply a compliance checklist before accepting your ETD for deposit. Common rejection triggers include: margins outside institutional specifications (typically 1″ all sides, 1.5″ left for bound copies); pagination that skips, repeats, or begins incorrectly; a Table of Contents that does not precisely match chapter and section titles in the body; inconsistent heading levels; abstract word count violations; and copyright page omissions. We know these checklists. We work through them systematically before you upload.

Our Submission-Ready Promise

Every manuscript we return is ready to submit to ProQuest — we keep working until it is, or we refund your payment. That commitment has held since 2002. It is not a policy. It is our standard. When your committee has signed off and your manuscript moves to the Graduate School review stage, it will clear.

What We Do Before You Upload to ProQuest

Document Architecture

We audit and correct your manuscript’s structural formatting: margin settings, section breaks, header and footer placement, page numbering sequences (Roman numerals for front matter, Arabic for body), and the precise formatting of your title page, copyright page, abstract, dedication, acknowledgments, and Table of Contents.

Table of Contents Alignment

Your ToC must precisely match every heading in the body of the document — including capitalization, punctuation, and page numbers. We rebuild or correct your ToC to ensure exact correspondence. This is the most common single reason for ETD rejection.

Style Manual Compliance

We audit your in-text citations and reference list against your required style manual — APA 7th edition, Chicago 17th, Turabian, MLA, AMA, Vancouver, or your institution’s house style — and correct formatting inconsistencies throughout.

Heading Hierarchy

We verify that your heading levels (Level 1 through Level 5 in APA; equivalent structures in other style manuals) are applied consistently throughout and conform to your Graduate School’s specific formatting requirements, which frequently differ from the style manual standard.

Tables, Figures & Appendices

We format all tables and figures to your style manual’s specifications, verify List of Tables and List of Figures entries against the body, and ensure appendix labeling, placement, and pagination comply with Graduate School requirements.

PDF Conversion Preparation

We prepare your Word document for clean conversion to the PDF ProQuest requires — including embedded fonts, bookmarks that correspond to your heading structure, and resolution of the common formatting breaks that appear when Word files are converted to PDF.

The ProQuest ETD Submission Process: What Graduate Candidates Need to Know

ProQuest ETD (Electronic Theses and Dissertations) is the submission system used by more than 700 universities in the United States and internationally to collect, archive, and publish graduate research. When your committee approves your final draft and your Graduate School grants clearance, you upload your manuscript directly to ProQuest’s submission portal at etdadmin.com. ProQuest then publishes your dissertation in ProQuest Dissertations & Theses Global — the world’s most comprehensive repository of graduate research, indexed by Google Scholar, Scopus, and institutional library catalogs worldwide.

Before ProQuest accepts your submission, your Graduate School reviewer performs a compliance check against your institution’s specific formatting requirements. This review is separate from your committee’s approval of your research — it is a formatting and documentation audit. Manuscripts that fail this review are returned to the student with a list of required corrections, often within days of a graduation deadline. Our role is to ensure your manuscript clears this review on the first submission.

Embargo, Copyright & ProQuest Publishing Options

ProQuest gives doctoral candidates control over when and how their dissertation is made publicly available. Options include immediate open access, a six-month embargo, a one-year embargo, or a two-year embargo — with institutional variations. Your copyright page must reflect your chosen embargo status and must include the correct copyright notice language. We verify that your copyright page, abstract, and ProQuest submission metadata are consistent with each other and with your Graduate School’s requirements.

For candidates publishing chapters as journal articles or planning to submit the dissertation to a commercial publisher, embargo selection is a consequential decision. We do not provide legal advice — we ensure your documentation is in order and refer candidates with specific publication plans to their Graduate School’s thesis office for embargo guidance.
